PRIVACY POLICY

Last updated: 1 January 2026

This Privacy Policy explains how Conversation with Swas ("we", "us", "our") collects, uses, shares and protects your personal information when you visit cwswas.com (the "site"), book a discovery call, download a resource, purchase from our shop, or otherwise engage with our services. We are committed to processing your personal information lawfully and transparently, in accordance with the Protection of Personal Information Act, 2013 (POPIA). By using the site, you agree to the practices described in this policy.

1. WHO WE ARE

For the purposes of POPIA, we are the Responsible Party for your personal information.

- Email: hello [at] cwswas.com
- Information Officer: Dr Swastika Juggernath, contactable at hello [at] cwswas.com

Our Information Officer is responsible for ensuring our compliance with POPIA.

2. WHAT THIS POLICY COVERS

This policy covers personal information we collect through the site, our contact and booking forms, our shop, our email and marketing communications, and our social media channels. It does not cover the privacy practices of third parties whose websites or services we link to.

3. THE PERSONAL INFORMATION WE COLLECT

Information you give us:

- Identity and contact details such as your name, email address and phone number, when you complete a contact form, book a discovery call, or subscribe to a resource.
- Booking details when you schedule a discovery call, including your selected time and any notes you provide.
- Order and delivery details when you buy from the shop, such as your name, delivery address, email and the items purchased.
- Payment information, which is collected and processed by our payment processor. We do not store your full card details.
- Any information you choose to share with us in messages, coaching enquiries, or when you join a community channel such as a WhatsApp group.

Information we collect automatically:

- Technical and usage data such as your IP address, browser type, device information, pages viewed and how you reached the site.
- Cookie and tracking data collected through Google Analytics and the Meta (Facebook) Pixel, as described in section 6.

Some of our coaching services touch on sensitive personal topics. We only collect what you choose to share, we treat it as confidential, and we do not publish anything about your engagement without your consent.

4. WHY WE PROCESS YOUR INFORMATION

We process your personal information to:

- Respond to your enquiries and schedule and conduct discovery calls and sessions.
- Deliver the products, resources and services you request, and process and fulfil shop orders.
- Send you the resource or lead magnet you asked for, and, where you have consented, relevant marketing communications.
- Operate, secure, improve and understand how visitors use the site.
- Comply with our legal and regulatory obligations.

Under POPIA, we process your information on the basis of your consent, the performance of a contract with you, our legitimate business interests, or where the law requires it.

5. DIRECT MARKETING

We will only send you marketing communications by email where you have opted in, or where POPIA otherwise permits it. Every marketing email includes an easy way to unsubscribe, and you can withdraw your consent at any time by emailing hello [at] cwswas.com. Withdrawing consent does not affect service or transactional messages you need to receive, such as booking confirmations or order updates.

6. COOKIES AND TRACKING

The site uses cookies and similar technologies to function properly and to help us understand and improve how it is used. We currently use:

- Google Analytics, to measure site traffic and understand how visitors use the site.
- The Meta (Facebook) Pixel, to measure the performance of our advertising and to show relevant ads on Facebook and Instagram.

You can control or disable cookies through your browser settings. You can opt out of Google Analytics using Google's browser add-on, and you can manage ad preferences within your Facebook and Instagram account settings. Disabling cookies may affect how parts of the site work.

7. PAYMENTS AND THE SHOP

When you purchase from our shop, your payment is processed securely by our payment processor, Yoco. We receive confirmation of your order and the details needed to fulfil it, but we do not receive or store your full card or banking details. Yoco handles your payment information under its own privacy terms.

8. WHO WE SHARE YOUR INFORMATION WITH

We do not sell your personal information. We share it only with trusted service providers (known under POPIA as Operators) who help us run our business, and only to the extent needed. These include:

- Our customer relationship, booking and funnel platform (GoHighLevel).
- Our email and marketing platform.
- Our payment processor, Yoco, for shop purchases.
- Analytics and advertising providers (Google and Meta).
- Our website hosting and IT providers.
- Third-party retailers such as Amazon, where you buy the book through their platforms under their own terms.

We require these providers to protect your information and to use it only for the purposes we specify. We may also disclose information where the law requires it, or to protect our rights.

9. CROSS-BORDER TRANSFERS

Some of our service providers process data outside South Africa. Where your personal information is transferred across borders, we take reasonable steps to ensure it is protected to a standard comparable to POPIA, whether through the provider's contractual commitments, their own compliance frameworks, or your consent.

10. HOW LONG WE KEEP YOUR INFORMATION

We keep your personal information only for as long as necessary to fulfil the purposes described in this policy, to provide our services, and to meet our legal, accounting and reporting obligations. When it is no longer needed, we securely delete or de-identify it.

11. HOW WE PROTECT YOUR INFORMATION

We maintain appropriate, reasonable technical and organisational safeguards to protect your personal information against loss, unauthorised access, and misuse, as required by POPIA. While no system can be guaranteed completely secure, we take security seriously and review our safeguards regularly.

12. YOUR RIGHTS UNDER POPIA

Subject to the conditions in POPIA, you have the right to:

- Ask what personal information we hold about you and request access to it.
- Request that we correct or delete information that is inaccurate, irrelevant, excessive or out of date.
- Object to the processing of your personal information in certain circumstances.
- Withdraw your consent to marketing or other consent-based processing.
- Lodge a complaint with the Information Regulator.

To exercise any of these rights, email us at hello [at] cwswas.com. We will respond within a reasonable time and in line with POPIA.

13. CHILDREN'S INFORMATION

The site and our online services are directed at parents and adults, not at children. Where information concerns a child, for example in the context of parenting or children's coaching, it is provided by the parent or guardian. We do not knowingly collect personal information directly from children without the consent of a competent person, as required by POPIA. If you believe a child has provided us with personal information without such consent, please contact us and we will delete it.

14. LINKS TO OTHER WEBSITES

The site may link to third-party websites and platforms, such as Amazon, LinkedIn, TikTok, YouTube and Facebook. We are not responsible for the privacy practices or content of those sites. We encourage you to read their privacy policies.

15. CHANGES TO THIS POLICY

We may update this policy from time to time to reflect changes in our practices or the law. The current version will always be posted on this page with its effective date. Significant changes will be highlighted where appropriate.
